Administrator - Company Secretary department

The Company Secretarial Department at Dillon Eustace LLP, Tudor Trust Limited, provides a full range of services to our clients including, incorporation services, statutory compliance and governance advice to both regulated and non-regulated entities, attendance at board and shareholder meetings and all associated drafting of notices, agendas, and minutes. We provide our services to a wide variety of corporate clients, companies including private companies, public companies, regulated investment companies and ICAVs.

We are looking to hire an Administrator to provide administration support to the Head of the department and to the team as required.

Responsibilities - will include but are not limited to the following :

  • Produce quality work fast and efficiently
  • Document Management System - open new files and maintain existing files
  • Production of Anti-Money Laundering (“AML”) documents for new clients
  • Preparation of invoices and Vat invoices on a monthly basis.
  • Printing and binding of Board Packs
  • Liaise with the team on a proactive basis- managing and organising diaries as required; communicating any problems which may arise and suggesting solutions to overcome them where suitable
  • Organise all aspects of board meetings as required
  • Filing & general administrative support, to include archiving
  • Stationery Supplies - ordering and upkeep of supplies for department.
  • Take telephone messages and manage client relationships
  • Post – forwarding of post each morning to respective fee earners in the department
  • Risk Management - comply with all of the Firm's policies & procedures; support Firm-wide risk management initiatives. Adhere to the file review and closure process and ensure all open and in-active matters are reviewed and closed as appropriate.
  • Staff may be requested to carry out other additional tasks as may occur from time to time.

Requirements

Suitable candidates must be able to demonstrate:

  • Good standard of Leaving Certificate, with a recognized secretarial or business administration course.
  • Minimum of three years general administration experience ideally in a corporate environment.
  • Microsoft Word and Microsoft Outlook skills
  • Professional manner and approach
  • Strong communication and interpersonal skills
  • Ability to work on own initiative and as part of a busy team
  • Demonstrate attention to detail
  • Ability to multi-task with strong organisational skills
  • Maintain confidentiality internally and externally
  • Flexible attitude.
